Welcome to your new or new-to-you computer! The first time you log into a computer, there are a few steps you will need to take to be able to properly use some of your apps. These steps should only need to be completed on the very first time a user logs in, and not on successive logins.
This article will outline the steps necessary to get started with many of the apps you're likely to need on an every-day basis! Please make sure to follow all the steps outlined below:
- To log in, click or tap any key to access the user menu. In the bottom left-hand corner, there should be an "Other user" option
- Select "Other User"
- Enter your login credentials
- Your Username will be the same as your email. You can either type it in as your full email (bbobcat@peru.edu) or just the first part of your email (everything before the @ symbol - e.g.: bbobcat)
- Your Password is your Microsoft 365 password - the same password you use to log in to your email. If you have not yet claimed your email, you will need to claim it and set your password before you can log into a campus computer. Instructions for employee email account first use can be found here: New employee User/Email account setup. If you have forgotten your password or need to reset it, please follow the instructions provided here: How to reset your email account password.
-
If you are an off-campus employee, please ensure you are connected to the internet before logging in. If you are not connected to the internet, you will be unable to log in.
- To connect to the internet from the login screen, click the network symbol in the bottom right-hand corner of the login screen, click on your preferred network, click "Connect," then input the network login credentials when prompted.
- Alternatively, connect your computer directly to a wired network using an ethernet cable or a docking station.
- Hit "Enter" or click "Sign in"
- Wait for the first-time setup process to complete. This may take a few minutes. Once it is finished, you will see your desktop home screen.
- If your screens do not display in the correct order or are oriented incorrectly, please follow the steps outlined here to fix them: Changing Windows Display Settings - Repositioning Displays in Software – Peru State College Computer Services
-
Once you have successfully logged in, open the "Excel" app to sync your Microsoft Entra account to the local Microsoft 365 app suite (used for Excel, Word, PowerPoint, OneNote, etc.)
-
Once Excel opens, it may prompt you to log into your Microsoft account. If you are a part-time employee, a Microsoft 365 license has not been allocated to you, and you will be unable to use the desktop versions of Word, Excel, and PowerPoint. You can, however, access the online version of these apps (Online links: Word, Excel, PowerPoint) from your browser. If you are a part-time employee, skip to step 12.
Click the "Sign in" button if it appears. Log in using your work email. Once you are properly signed in, your initials should pop up right next to the "Minimize" button in the upper right-hand corner of the app window. -
Once you are signed into your Microsoft account in Excel, exit out of the Excel app and open up Word to make sure the sign-in prompt doesn't come up again. If it does, wait 10 seconds, click the "Close" button, and repeat this step from the beginning.
Open Word Check for a license prompt, then ensure you are signed in by checking the corner of the app for your initials Exit the app -
Open the Outlook app
-
You should be automatically signed in. It may take a little while for your user data to download, especially if you have lots of emails.
This popup means the app is performing a quick update This window means you are being signed in. It will next say "Setting things up" as it completes downloading your user data, before completing and showing you your emails. - Once you are logged in, ensure your emails have populated correctly. You may now close out of the Outlook app.
-
Next, open the Microsoft Teams app.
-
Like Outlook, Teams should automatically log you in.
- In some cases, the window may prompt you to "Download the latest version of Teams." Instead, please restart your computer and sign back in. After restarting and signing back in, re-open the Teams app.
This screen means you are being signed in automatically, and your data is being downloaded locally -
Once you are signed in, you will be presented with two popups. When prompted whether to allow Teams to access your Camera, click "Yes" (as Teams will need access to your computer's camera in order to display video during meetings).
On this prompt, click "Yes" -
Another prompt behind it will alert you that your location has been turned off. Click "Got it" to confirm.
On this prompt, click "Got it" - Next, confirm any chats and/or teams you have previously had are in your Teams desktop app. You may then close out of Teams if you wish.
-
Open the Microsoft Edge app
Microsoft Edge is our recommended browser for work, as it is connected to your Microsoft Entra account and syncs your data across devices without necessitating signing in to an outside account. Your history, bookmarks, and browsing data will be available on any campus devices you sign into. Certain applications require the usage of other apps (e.g.: Perceptive Content requires the use of Chrome when capturing), but we still recommend sticking to Edge when possible. -
Edge should also automatically sign you in, like Outlook and Teams. When the app opens and prompts you, click "Confirm and continue"
-
After confirming, you can select an appearance for Edge, click "Next," then exit out of the browser.
Alternate themes can also be chosen for your computer in your Settings desktop app under the "Personalization" tab. -
Next, select the "Start" button (or the Windows key) to open your Start Menu.
-
Open the OneDrive app
The OneDrive app may only open the background process the first time you click on the icon. If you don't see a OneDrive login window within 30 seconds, please click the icon again. -
The popup window should automatically populate your email in the "Email address" field. Select "Sign in"
Backing up your files is very important! Please ensure you follow these steps carefully -
Wait for the sign-in process to complete. When prompted, click "Next" to confirm the location of your OneDrive folder. (By default, it will be stored at "C:\Users\<Username>\OneDrive - Peru State College")
-
When prompted to select which folders to back up to your OneDrive, ensure all available folders are marked as "On," then click "Start backup."
One folder that will not back up to your OneDrive is your "Downloads" folder. If you download any files that you want to ensure are backed up, ensure you have them backed up to one of your folders that is synced to OneDrive. -
Click through the rest of the prompts
The prompts will be "Next," "Later," then "Open my OneDrive folder." Feel free to open your OneDrive folder to see where it is located in your File Explorer and ensure any files you have previously backed up to OneDrive are starting to sync. -
If you click on the OneDrive icon in your System Tray (the cloud icon on the right side of your Taskbar, on the bottom right part of your screen), a popup will show you the progress of the files on your OneDrive syncing to your local OneDrive folder.
The two circular arrows superimposed on the cloud indicate your files are currently syncing and have not yet completed. When the indicator arrows have disappeared, your files should all be synced!
Now that you have successfully set up your Microsoft 365 apps, Outlook, Teams, Microsoft Edge, and OneDrive, you should be ready to go! Congratulations on making it through!
